| 7. Application Procedure | |
| An original and a copy of the following documents must be
submitted to the host professor before the deadline on February 17, 2007: (All of these documents MUST ARRIVE by the deadline.) All of the following documents must be sent by registered air mail. |

| 7.1 | Completed Application Form (use the format supplied). | ||
| 7.2 | Pledge (Use the format supplied. Please don’t write anything in the date filled). | ||
| 7.3 | Original Master's Degree Certificate and Bachelor's Degree Certificate or a certified letter from the postgraduate university at which the applicant is currently enrolled, stating the expected graduation date. | ||
| 7.4 | Official Academic Transcript of undergraduate and graduate school records. | ||
| 7.5 | A photocopy of Master's Thesis. If the thesis
is not written in English, please attach a summary in English, on A4-size
paper, to the thesis. Copies of any academic research publications in
English are also acceptable with the thesis. An applicant who was not required to write a thesis for the Master's degree must state this in his or her application form and submit a copy of any academic research papers instead of the thesis. |

| 7.6 | Certificate of Citizenship or Proof of Residence in the applicant's home country, i. e. census registry, Passport (photocopy), or other proof of citizenship. | ||
| 7.7 | Letter of recommendation by the Dean or Head of the institution /employing body. Another recommendation letter preferably, the applicant's supervising professor, other teaching staff, or supervisor in the employing body with a personal knowledge of the applicant (use the format supplied). | ||
| 7.8 | 2 photographs (6×4cm; upper front figure without hat, taken within the last six months). Name and nationality must be indicated on the reverse side. One photograph must be fixed at the specified place on the application form, and the other must be in an envelop. | ||
| 7.9 | Certificate of official English proficiency
such as TOEFL, TOEIC, Cambridge, etc. (unnecessary if you are a native speaker of English) |

| 7.10 | Letter of Approval from the Government, if necessary (Applicants should acquire approval of their respective immigration authorities well in advance.) | ||
| NOTE | |
| 1) | All applicants should note that they must keep in close contact with the prospective supervisory professor at Kyushu University in order to formulate a research plan which must be submitted for approval by Monbukagakusho. |
| 2) | The above documents should be type-written in English on A4 format. |
| 3) | Applications will not be accepted if any of the above documents are incomplete, incorrect or lacking supporting evidence. Applications arriving after the deadline will not be accepted. |
| 4) | All documents once submitted will not be returned. |
| 8. Caution | |||||||||
| 8.1 | The payment of scholarship to an enrolled student may be terminated and admission can be canceled any time after enrollment if: | ||||||||

| 8.2 | Successful applicants are expected to learn and understand the geography, climate, customs and habits of Japan as well as the general features and conditions of Kyushu University in advance. Thesis work is to be carried out in English, but students are expected to understand Japanese for daily use. | ||||||||
